How do I organize notes with smart folders in Vozzle?
Open the Notes tab, go to Folders, and tap + to start a folder — new folders are smart by default. Add Filter Rules (a tag, a date range, pinned, has a recording, a task's status, and more) and Vozzle gathers every note, task, meeting, and event that matches, keeping the folder up to date on its own — nothing to file by hand. Smart folders work on every plan and sync across your devices.
Here's how
Open Folders and tap +
In the Notes tab, open Folders and tap the + (New folder). Vozzle starts you on a smart folder, so give it a name, then pick an icon and color to make it easy to spot in the list.
Add your first rule
Under Filter Rules, tap Add Rule and choose a field. They're grouped so you don't mix them by accident — General (a tag, or created/modified within a range), Note (pinned, favorite, archived, has a recording, has a follow-up…), Task (status, priority, due date), and Meeting (status, has a recording). Then set the operator — is, is not, or contains — and a value.
Stack rules with All or Any
Add as many rules as you need and set Match to All Rules (an item must match every rule) or Any Rule (matching one is enough). As you tune, the footer shows a live "N items match" count, so you can see exactly what will land in the folder before you commit.
Save — and stop filing
Tap Save and the folder fills instantly. From then on it's live: tag a new note "work", wrap a meeting, or flip a task to done and it appears or leaves on its own. There's nothing to drag and nothing to re-file — the rule does the work.
Vozzle ships with smart folders already built — Today, This Week, This Month, Pinned, Archived, and Reminders — so you can see the idea working before you make your own. Want one without lifting a finger? In Vozzle Chat, just say "make a smart folder for my work notes" and it writes the rule for you.
Worth knowing
- It updates itself, foreverA smart folder is a saved rule, not a fixed list. Anything you create later that matches drops in automatically, and anything that stops matching drops out — you never re-file.
- One folder, every kind of itemRules are grouped by type (General, Note, Task, Meeting), and a single folder can pull from all of them — so "everything tagged Q3" gathers the notes, tasks, and meetings together in one place.
- See the result before you saveThe editor footer counts matches live as you edit the rules, so you can dial a folder in to exactly what you want instead of saving and checking.
- Free, unlimited, and syncedSmart folders work on every plan with no cap on how many you create or how many rules each holds. The rule syncs across your devices, and each one works out the contents locally — so there's nothing to re-file after a sync.
While you're here
What can a smart folder filter on?
Tags, and created or modified date ranges like today, this week, this month, or the last 7 or 30 days — plus traits specific to each kind of item: notes by pinned, favorite, archived, has a recording or a follow-up; tasks by status, priority, or due date; and meetings by status or recording. Combine rules with All (every rule must match) or Any (one is enough).
Do smart folders move or copy my notes?
No. A smart folder is a live view built from a rule, and your items stay exactly where they are — deleting a folder doesn't touch them. For a tag-based folder, filing a note into it simply adds that tag, so one note can show up in every folder whose rule it matches.
Do I need a subscription to use smart folders?
No — smart folders are part of organizing your library and work on the free tier, with no AI cost to create or use one. The only exception is asking Vozzle Chat to build a folder for you, which uses an AI action like any other chat request.
